Who this is for

Any trade doing site-based work — builders, electricians, plumbers, joiners, groundworkers — where clients ask for extra bits beyond the original quote. If you've ever done a "quick favour" that took an hour and cost you materials, then felt awkward about invoicing for it afterwards, this sheet fixes that awkwardness before it starts. Build and edit the sheet on screen for free; you only pop your details in when you want the take-away signed sheet printed.

Why bother documenting small extras?

Because they add up, and because "small" extras are exactly the ones that get forgotten at invoicing time. A sheet takes two minutes to fill in on site. An argument about a bill the client doesn't remember agreeing to takes a lot longer, and you usually lose some or all of the money either way.

Are verbal instructions binding?

Legally, a verbal instruction can form a binding contract — but proving what was actually agreed is the hard part, and that's exactly where disputes happen. That's why you write it down immediately and get a signature, or if a signature isn't practical there and then, send the "copy as text" version by WhatsApp or email before you start the extra work. A timestamped message the client has read is far stronger evidence than a conversation nobody wrote down.

What if the client won't sign?

Don't let that stop the job going ahead if you've already agreed the work verbally — just tap "Copy summary as text" (which is completely free) and send it by WhatsApp or email immediately, ideally before you start. A message with a read receipt, sent before the work was done, is much harder to dispute later than a signature chased after the event.

Does this tool store my sheet anywhere?

No. Your business details, the client's name and every line you add are saved only in this browser using local storage — nothing is uploaded or sent to us. Building, editing and saving the sheet on screen is completely free, as is copying the text summary; you only enter your details when you want the take-away printed signed sheet. Clear it any time with the "New sheet" button.

Please note: this tool gives a guide or estimate only. It may not be 100% accurate and is not professional advice — always check the figures before you rely on them. Any document this tool produces is a template for convenience, not legal advice. You are responsible for making sure anything you issue meets your own legal obligations; seek professional advice for your situation. This variation sheet is a record of an addition to your existing quote or contract, not a replacement for one — it works best alongside your own written terms and conditions, and a client's signature on it is evidence of agreement, not an automatic guarantee it will be enforced exactly as written if challenged. Your business details, the client's name and every line you log stay in your browser — nothing you type here is uploaded or stored by us.
