Staff

Weightings must be justifiable and set out in your written tips policy — many places simply use hours worked (weight 1.0 for everyone).

Who this is for

Any café, pub, restaurant, salon or hospitality business that pools tips or a service charge and splits them between staff — front of house, kitchen, or both. The split runs by hours worked and an optional role weighting, reconciled to the penny so every last coin of the pot is accounted for.

Can I deduct card processing fees from tips?

No. Since the Employment (Allocation of Tips) Act 2023 came into force on 1 October 2024, 100% of tips and service charges must reach workers with no deductions other than tax — card processing costs, admin fees or anything else can no longer be taken off the top.

Can the kitchen share tips with front of house?

Yes, if your written tips policy says so and the split is fair and transparent. There's no legal requirement to split evenly between roles — hours-weighted, role-weighted or a mix are all fine, as long as the method is documented, consistent, and explainable to staff.

Do I need a tronc?

Not a legal requirement, but worth asking your accountant — a tronc scheme run properly by an independent troncmaster can save employer and employee National Insurance on tips. This tool records the allocation either way; it doesn't run payroll or NI calculations.

What records do I need?

A written tips policy describing your allocation method, plus a record of who received what and how it was worked out for each period — kept for 3 years from the date the tip or service charge was paid. Workers can request to see their own tipping records, and you must respond within 4 weeks. The printable output from this tool is designed to be that record. See the statutory Code of Practice on fair and transparent distribution of tips for the full detail.

Please note: this tool gives a guide or estimate only. It may not be 100% accurate and is not professional advice — always check the figures before you rely on them. Rates, thresholds, allowances and rules can change without notice and may be out of date by the time you use this tool. Verify against HMRC / GOV.UK or your accountant before acting. The Employment (Allocation of Tips) Act 2023 requires 100% of tips to reach staff via a fair, documented allocation — this tool helps you record that, but does not replace your written tips policy or your accountant's advice. Your tips total, period label and staff details stay in your browser; nothing is uploaded.
